Job Description:

  • To assist and support to the Accounts & Administrative Department – for the purpose of achieving the goals and objectives of the Department and the Company

Key Areas of Responsibilities:

  • To perform general secretarial duties including word processing, general secretarial duties, filing, copying etc.
  • To perform receptionist and telephone operator duties
  • Assist with accounts payable i.e. preparation of cheques, vouchers etc
  • To receive payments and issue receipts for walk-in customers
  • Enter all local bills on QuickBooks
  • Maintain all customer invoice files in a concise manner
  • Source and prepare all relevant documentation for the local purchase of office supplies inclusive of stationery, grocery, etc
  • Work in a safe manner at all times in accordance with ROSE EHS Standards and provisions of our HSE Manual
  • Follow up on the return of documentation issued from the AAD
  • Archiving of old / obsolete documentation
  • Any other responsibilities as deemed necessary by the departmental manager or supervisor – from time to time

Job Requirements:

  • Five (5) CXC CAPE passes or equivalent
  • Formal Training in Telephone Etiquette
  • Certificate in Office Administration and Procedures
  • Certificate of competency in the use of Microsoft Office suite
  • A suitable combination of qualifications and experience
  • Certified training in Business Administration
  • Two to three years’ relevant work experience in a similar position
  • Experience working in a fast pace, dynamic working environment
  • Ability to communicate effectively with all levels of personnel – both verbally and in writing
  • Experience in the use of QuickBooks Accounting Software
  • Two to three years’ experience in a medium or large organization – preferably within the Environmental Field
